How is the report submission process? |

PA completes the report on the eGMS and submits the report to CoA, if any, and RO for endorsement. RO then submits the report to the RFS via the eGMS before the deadline of submission. |

How does PA obtain the report template? |
||||||||||
|
All reports must be submitted via the eGMS. The Progress Report and Interim Report should be completed on the eGMS directly. The Final Report and Dissemination Report should be completed in a WORD template. Both WORD and PDF files should be uploaded to the eGMS after completion. Is it compulsory to submit the report via the eGMS? |
||||||||||
|
Yes. With effect from 8 September 2015, all projects approved in the 2012 round and thereafter must have the respective reports submit via the eGMS. PA can complete the Interim/ Progress Report on the eGMS directly, and upload the Final and Dissemination Reports (in both WORD and PDF format) to eGMS. |

Is there any file size limit for attachments to be attached to the report? |
||||||||||
|
The maximum file size limit for an attachment is 15MB. |

Do users need to physically sign on the report? |
||||||||||
No. Electronic signatures will be collected via the eGMS. After PA has submitted the report to RO, the eGMS will invite CoA(s), if any, to endorse the report. RO is the last party to endorse the report. The report will be submitted to RFS after endorsement by RO. |

When should I start preparing the reports? |
||||||||||
|
All reports must be submitted to the RFS via the eGMS on or before the submission deadline. PAs have to take into account the lead time for CoA(s) and RO to sign on the report. |

Will the system time out automatically? |
||||||||||
|
Yes. The eGMS will automatically time out if the screen has been idled for 20 minutes. Users are strongly recommended to save their work regularly. |

The report might have been pushed back to the PA for revision by other CoA(s). Please check with PA when the report is ready to sign on the eGMS. |

What is the function of “Check-in-order List”? |
|
The “Check-in-order List” facilitates RO to coordinate their internal workflow in endorsing a report. It is an optional function. RO must make sure that all reports submitted to RFS are properly completed and endorsed. |

Can RO push back an application without using the “Check-in-order List”? |
|
Yes. The “Check-in-order List” is an optional function. |

How does RO know they have to endorse a report? |
|
The eGMS will send an email to RO when the first record appears on the Action List. Thereafter, a weekly reminder will be sent every Monday morning if there is outstanding record(s) on the Action List. |

Is RO required to endorse a “push back” report? |
|
Yes. RO must endorse a “push back” report after PA has revised the report. |

What is the function of “Action List”? |
|
“Action List” displays a summary of projects pending AI users’ endorsement. |

What is the difference between “Action List” and “Outstanding List”? |

“Outstanding List” displays a summary of reports and/or change requests pending endorsement by CoA(s) for RO’s reference. |

Can RO endorse a report on “Outstanding List”? |

No. RO can only endorse the report after CoA(s) have signed the report. |

Why did the report disappear on the “Action List” after it was pushed back? |

Can RO delegate executives to handle the operational tasks on their behalf? |
